Privacy Policy CEWE Photo Station

At CEWE your privacy is respected. All data collected is used to improve our range of products and services. Data protection and data security for customers and users are a high priority for CEWE. The protection of your personal data throughout our business processes is therefore of particular concern to us.

In accordance with the Data Protection Act 2018, this data protection declaration explains what information is collected through the use of the CEWE photo station and how this information is used. This data protection declaration covers all functions and order channels of the CEWE photo stations offered by CEWE. Due to different hardware and/or software versions, some functions are only available at some of the CEWE photo stations on the market.

Collection and processing of personal data

When preparing a photo order directly at the CEWE photo station, the selection and compilation of your image files is carried out exclusively at the CEWE photo station without necessarily requiring a connection to one of CEWE's web servers. The connection to a web server depends on the type of photo order.

Instant print orders

At the CEWE photo station, you can transfer your photos from a mobile device via Bluetooth or with the aid of a cable. In addition, you can transfer the image data to the CEWE photo station via a storage medium and print them out directly.
In instant printing, the image data that has been printed out is stored on the hard disk of the CEWE photo station in encrypted form for 48 hours and then automatically deleted irrevocably. No personal data other than the photos you have transmitted will be stored on the CEWE Photo Station. Storage is exclusively for the purpose of complaint handling. 

Instant contactless print orders

Your instant print can also be created contactless, so that you do not have to touch the CEWE photo station, but process the entire order via your mobile device. To do this, the QR code attached to the CEWE photo station must be opened with your smartphone to open the web application. This saves your IP address, the date and the time of access on your mobile end device. However, you can delete this data at any time after the end of the ordering process (clear the cache of the smartphone). Furthermore, this data is transmitted in encrypted form to the CEWE server and stored there for a maximum of 7 days and then irrevocably deleted. The transfer serves to identify your smartphone and enables the order to be transferred from your device to the CEWE photo station. The image data transferred to the CEWE photo station are stored in encrypted form on the hard disk of the CEWE photo station for 48 hours and then irrevocably deleted. The storage on the CEWE photo station serves to execute your order as well as a possible complaint.

Laboratory orders on CD

When ordering the products with a burned CD, your personal data will be stored on the CD.
On the CEWE photo station, the data required for processing instant or lab orders are stored in encrypted form on the hard disk, i.e. order information, customer photos and other customer information provided voluntarily.
After your lab order has been completed and delivered, the image data is kept in production at CEWE for up to six weeks in order to be able to process any complaints or repeat orders. After that, this data is irretrievably deleted.

Lab order at the photo station

In the case of laboratory orders, the storage time on the CEWE photo station is 24 hours after the order has been correctly transmitted to CEWE and is then automatically irrevocably deleted. In the event that the order is not sent (e.g. line fault), the order is stored for a maximum of 14 days.
After your lab order has been completed and delivered, the image data is kept in production at CEWE for up to six weeks in order to be able to process any complaints or repeat orders. After that, this data is irretrievably deleted.
All data is transmitted exclusively in encrypted connections (HTTPS / SSL) and stored on security servers.

Use and disclosure of personal data and purpose limitation

The processing and forwarding of your data is carried out on the basis of processing requiring consent, for the fulfilment of the contract and on the basis of further processing with legitimate interest.
We use the data you provide to fulfil and process your order in accordance with the fulfilment of the contract. Your data will be used in accordance with the applicable data protection regulations solely for the purpose associated with the respective collection and to protect our own justified business interests, in particular the technical administration of the CEWE photo station. Insofar as you have given us your prior consent, we also use this data for product-related surveys and marketing purposes. You can revoke any consent you may have given at any time with effect for the future.
CEWE commissions other companies and individuals to perform tasks, such as packaging, shipping and delivery of items. These service providers have access to personal information that is required to perform your tasks. However, you may only use this information for these purposes. We have required our service providers to handle the information in accordance with the relevant data protection laws and our privacy statements.
In order to process payments, we pass on the payment data required for this to the credit institution commissioned with the payment and, if applicable, to the payment service provider commissioned by us or to the payment service selected by you in the ordering process.
Personal data will only be transferred to government agencies within the framework of mandatory legal provisions. Your data will not be disclosed to private third parties without your express consent.
We require our employees to maintain confidentiality and to comply with the relevant data protection regulations.
The image contents are not evaluated. If you do not register at the CEWE photo station, the aforementioned data will not be collected. It is also possible to use the CEWE photo station without registering.

Security measures

CEWE uses extensive technical and operational security measures to protect your personal data managed by us against misuse, accidental or intentional manipulation or access by unauthorised persons. Our security procedures are continuously improved in line with technological developments.

Note on data transfer to third countries

To ensure the high accessibility of our customer service, we are supported by service providers outside of the EU. We have concluded contracts with the service providers with EU standard contractual clauses and regularly assure ourselves that our very high data protection requirements are also fully met.

Data subjects' rights

Under certain circumstances, you have rights under data protection laws in relation to your personal data. Please click on the links below to find out more about these rights:

Request access to your personal data (commonly known as a "data subject access request"). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.

Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.

Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.

Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. You also have the right to object where we are processing your personal data for direct marketing purposes. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.

Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios: (a) if you want us to establish the data's accuracy; (b) where our use of the data is unlawful but you do not want us to erase it; (c) where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or (d) you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.

Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.

Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.

No fee usually required

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

What we may need from you

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

Time limit to respond

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
